Terms and conditions for conferences & events

These General Terms and Conditions apply provided that they are attached to the booking confirmation or that the parties have otherwise agreed that these General Terms and Conditions shall apply.

1. Definitions

An arrangement means the provision of premises with or without catering services, for example for a conference or a group booking in an event venue.

The Customer is the legal entity or individual responsible for payment of the arrangement.

7A Sevena AB refers to 7A's venues that deliver the arrangement.

The Booking Value means the agreed price for the entire order, or the total number of participants booked multiplied by the agreed price per participant and day, together with the price of any specially ordered services.

2. Booking

Bookings may be made verbally or in writing.

a) The Customer shall have access to the premises during the period specified in the booking confirmation. If the Customer has special requirements regarding, for example, security arrangements, music/entertainment, or animals, these must be stated at the time of booking and clearly specified in the confirmation.

b) 7A reserves the right to relocate the Customer's arrangement to another equivalent venue. In such cases, the Customer shall not be entitled to compensation. However, 7A shall compensate the Customer for any specific costs incurred as a result of the relocation to another room or venue.

c) Orders for food must be placed no later than 30 days before the event. When a menu is ordered, the same menu shall apply to the entire group. Guests with allergies or dietary requirements will be offered an adapted menu.

d) The rental price of the premises includes certain equipment in accordance with the quotation. All additional technical equipment and conference services will be charged according to the applicable price list or quotation.

e) The Customer undertakes to comply with the requirements of public authorities and/or 7A not to exceed the maximum number of visitors or amount of material permitted in the rented premises under evacuation regulations and safety requirements.

f) The Customer is entitled to photograph and film during its arrangement, provided that this takes place during the rental period and that the purpose is internal use, such as the Customer's own marketing activities.

Subject to a separate agreement with the Customer, 7A may also photograph and film the arrangement for its own use and publish such material in its marketing.

3. Food and Beverage

All food served and sold, including fruit and beverages, shall be supplied by 7A.

The Customer is not entitled to engage any other supplier to deliver or handle food and beverages within the supplier's buildings or premises.

These rules comply with applicable food and alcohol legislation and are intended to ensure high quality and a high level of safety for guests.

4. Deposit / Advance Payment

7A reserves the right to conduct a credit check and to require advance payment (for bookings of Salong 300, Loke & Palmsalen, and for private events).

An advance invoice corresponding to 100% of the venue rental fee will be issued once the booking has been confirmed and is payable within 30 days.

For bookings made less than 30 days before arrival, payment must be received no later than 10 days prior to arrival.

A payment link for card payment will be included with the invoice.

All other equipment, food, and any additional costs will be invoiced after the arrangement has taken place, with payment terms of 20 days.

If the advance payment is not received within the stated timeframe, the booking shall not be binding on 7A.

5. Responsibility for Property

7A shall not be liable for property stored in conference facilities or other public areas.

If 7A or any of its employees has acted negligently and thereby caused loss of or damage to the Customer's or participants' property, 7A shall be liable to the Customer for such loss or damage.

6. Customer Liability for Damage

The Customer shall be liable for any damage caused to 7A by the Customer or participants in the arrangement, whether intentionally, through negligence, or through omission.

7. Payment Terms

The Customer is responsible for all costs arising from the booking and the arrangement.

Payment shall be made in accordance with the agreed terms.

Where payment is made by invoice, the Customer shall pay the full invoice amount within 20 days from the invoice date.

If payment is not made by the due date, 7A shall be entitled to charge default interest at a rate of 8% from the due date.

All prices are stated exclusive of VAT. VAT will be added in accordance with applicable tax legislation.

8. Reservation of Price Changes

a) If the costs of fulfilling the booking increase due to higher taxes, currency devaluation, government decisions, or similar circumstances, 7A shall be entitled to charge a surcharge corresponding to the increase in costs.

b) If 7A wishes to reserve the right to increase prices for reasons other than those stated above, the Customer shall be clearly informed of this at the time of booking.

c) 7A shall notify the Customer immediately when a price increase occurs.

9. Force Majeure

Strike, lockout, fire, explosion, war or war-like conditions, significant restrictions in deliveries, or other circumstances beyond the supplier's control shall entitle the supplier to terminate the agreement without liability for damages.
